GST E-Invoicing in India: A Practical Guide for Growing Businesses

Understand GST e-invoicing in India — who must comply, how IRN and QR codes work, common mistakes and how e-invoicing software keeps your business compliant.

Tax documents and a calculator on a desk

GST e-invoicing has become part of everyday billing for a large share of Indian businesses. This guide explains how it works in practice and how the right software removes most of the effort.

Note: GST rules change regularly. Use this guide as an overview and always confirm the latest notifications with your chartered accountant.

What is GST e-invoicing?

E-invoicing does not mean creating invoices on a government portal. You still create invoices in your own accounting or ERP software. The invoice data is then reported to the Invoice Registration Portal (IRP), which validates it and returns:

  • an Invoice Reference Number (IRN), a unique number for the invoice, and
  • a digitally signed QR code that must be printed on the invoice.

Only invoices registered this way are valid e-invoices for covered businesses.

Who needs to comply?

E-invoicing applies to B2B invoices, credit notes and debit notes of businesses whose aggregate turnover crosses the threshold notified by the government (currently ₹5 crore in any financial year from 2017-18 onwards). Larger taxpayers also have time limits for reporting invoices to the IRP, so invoices should be registered as soon as they are created.

How the process works

  1. Create the invoice in your billing or accounting software.
  2. The software sends the invoice data (in the prescribed JSON schema) to the IRP.
  3. The IRP validates the data and returns the IRN and signed QR code.
  4. The QR code is printed on the invoice, and the details flow into your GSTR-1 automatically.
  5. If needed, an e-way bill can be generated from the same data.

Common mistakes to avoid

  • Wrong GSTIN or place of supply, leading to rejected IRNs or the wrong tax split.
  • Missing HSN/SAC codes on invoice lines.
  • Generating invoices outside the system and reporting them late.
  • Cancelling incorrectly — IRNs can only be cancelled within a short window, after which a credit note is needed.

How e-invoicing software helps

Good GST e-invoicing software makes compliance almost invisible:

  • Automatic IRN and QR generation the moment an invoice is saved.
  • Validation before submission, catching errors that would cause rejections.
  • Auto-filled GSTR-1 from registered invoices.
  • One-click e-way bills from invoice data.
  • Multi-GSTIN support for businesses with branches in several states.
